Electronic Proposal Submission

Astronomers who wish to submit a proposal for one of the IRAM telescopes should read the following general information:


Should the electronic submission facility not be available because of poor network connections or other difficulties, please submit your proposal either by postal mail or fax. In case of malfunction, please contact berjaud@iram.fr. Proposals submitted by electronic mail will not be accepted.


Submission Form

  • Title of the proposal  (max 50 char or you get an Internal Server Error message)
  • Full name of the PI  E-mail of the sender
  • Comments you wish to transmit to the scientific secretariat (optional)
  • Submit this file
  • or


The title of the proposal has to be identical to the one in the cover page of a submitted LaTeX proposal (plain ascii format, no TeX symbols). The full name of the PI is the last name followed by the first name of the principal investigator. The E-mail address refers to the person who submits the proposal.

Preparation of proposal submission


Proposals must be written on the standard IRAM LaTeX proposal template. No other format, in particular no PostScript version of your proposal will be accepted. At the stage of submission authors will have to be provide one compressed archive file.

This archive file needs to contain the following individual files:

    • the proposal text (file extension .tex) - mandatory
    • the latest IRAM proposal.sty style file for proposal submission - mandatory
    • one or more PostScript images for figures (only extension .ps or .eps accepted, color images will be rendered white and black) - optional
    • additional personal style files (extension .sty) - optional

Authors have to create the archive file using the Unix file archiver (tar) and to compress it for submission using one of the standard compression utilities (gzip, zcat, compress).

As an example:


    > ls proposal_directory
    my_proposal.tex proposal.sty psfig.sty fig1.ps fig2.ps
    > tar cvf submit_pdb.tar -C proposal_directory my_proposal.tex proposal.sty psfig.sty fig1.ps fig2.ps
    > gzip submit_pdb.tar


Do not under no circumstances compress individual files in the archive (only the archive needs to be compressed) and do not use pathnames for tarred files other than the one specified with the -C option (files have to reside locally when extracted from the archive), since that will result in a submission failure.

Note for submission made via a Windows operating system: Windows may alter the content of the proposal.sty file which makes the submission fail. We recommend the submission of an archive totally generated on a Unix based system.

Read our response and check your submission


Authors have to wait a few seconds after proposal submission. They will receive a response from the submission facility (via the browser and by electronic mail) as soon as their request is processed. We urge the need for checking the response. The response to a successful submission will include a key code that will allow authors to view the PostScript file generated by the submission facility. We strongly recommend that proposers actually do view the submitted PostScript file as this file contains the information that will be presented to the Programme Committee. The same key code allows authors to withdraw their proposal. It is very important to keep the entire response as proof of a successful submission.

Reasons for proposal submission failure are:

    • the proposal.sty file is out of date
    • the submitted file is incomplete
Note that a successful submission is not equivalent to an accepted submission. Authors will separately be notified by the scientific secretary a few days after the proposal deadline.

Modify a proposal already submitted


To modify a proposal, authors have first to withdraw the old proposal using the key code returned by the electronic submission facility and then to submit the modified one:
    • withdraw the proposal
    • submit a new proposal (resubmission generates a new key code)
Because replacing proposals entails certain responsibilities, authors must exercise great care when replacing their proposal. Authors should wait a few seconds after proposal withdrawal. They will be notified by the submission facility (via the browser and by electronic mail) as soon as their request is processed. Please keep the response as proof.
